Privacy Policy

Last updated: 18 October 2026

Tailored Fitness ("we", "us", "our") respects your privacy and is committed to handling your personal information responsibly, in line with the Australian Privacy Principles under the Privacy Act 1988 (Cth). This policy explains what we collect, why, and how long we keep it.

The short version

  • We collect the details you give us: your contact details, and, if you join, health and fitness information so we can train you safely.
  • We use them to reply to you and to run your membership or program. We never sell them.
  • A few of the tools behind this website are based overseas, mainly in the United States.
  • You can ask to see or correct what we hold about you, or make a complaint, at any time. Our contact details are at the bottom of this page.

Information We Collect

We collect personal information you give us directly, including:

  • Contact form enquiries — your name, email address, phone number, and the message or subject you send us.
  • Program & membership sign-ups — if you join a program or membership, whatever information you provide on an enrolment or intake form, such as your name, contact details, emergency contact, and any health or fitness information relevant to your program (for example injuries, medical conditions such as Parkinson's disease, or a pre-exercise health screening).
  • Event registrations — your name and contact details when you register for or buy a spot at an event.

Health information is "sensitive information" under the Privacy Act. We only collect it with your consent, only when it's needed to train you safely, and we don't use it for anything else.

When you visit this website, our hosting provider also automatically receives basic technical details (such as your IP address and browser type) — see "How We Share Your Information" below.

How We Use Your Information

We use your information to:

  • Respond to enquiries you submit through our contact form.
  • Get in touch with you — by phone, SMS or email — to verify your details and confirm a program, membership or event you've signed up for.
  • Manage your membership or program enrolment, including scheduling, billing, and any safety or emergency-contact needs.
  • Let you know about changes to your program, or upcoming events you may be interested in.

How We Share Your Information

We do not sell your personal information, and we never will. We don't share it with third parties for their own marketing purposes.

We may share limited information with trusted service providers who help us run the studio — for example, software we use for scheduling, payments or communications — but only as needed to provide our services, and only under terms that keep your information confidential.

Some of the tools that power this website are operated by overseas providers, so the information you submit through them may be processed or stored outside Australia:

  • Web3Forms (United States) — delivers our contact form submissions to us by email.
  • Sanity (United States) — hosts the content behind our Events page.
  • Cloudflare (United States, with servers worldwide) — hosts this website. Like any web host, it processes basic technical details of each visit, such as your IP address and browser type, to deliver and protect the site.
  • Cloudflare Turnstile (United States) — spam protection on our contact form. It checks technical details of your browser and visit (such as your IP address) to confirm a real person is sending the message, without tracking you across sites.
  • Google Maps (United States) — the map in our contact section is embedded from Google, which receives your IP address when the map loads.

Membership sign-ups and the member timetable run on ClubFit, our membership software, on ClubFit's own website and under its own privacy policy.

We don't make any decision about an individual using automated or computer-based decision-making — every enquiry, sign-up and membership decision is handled by a person.

How We Store and Protect Your Information

Contact form enquiries arrive in our business email inbox. Member and client records are kept in the membership and scheduling software we use to run the studio, and any paper forms are kept securely at the studio.

Only our team can access this information, and only when they need it to do their job. We take reasonable steps to protect it from misuse, loss, and unauthorised access or disclosure, and we securely delete or destroy it once we no longer need it.

How Long We Keep Your Information

If you're an active member or client of Tailored Fitness, we keep your information for as long as you're in our system, so we can manage your membership or program.

If you contact us but don't go on to join a program, we only keep your enquiry details for as long as it takes to respond to you — we don't hold onto it long-term.

Cookies & Website Data

This website doesn't use advertising cookies. We may use Cloudflare Web Analytics to count visits; it doesn't use cookies and doesn't identify you or follow you across other sites. The embedded Google map may set Google's own cookies when it loads, under Google's privacy policy. Information you submit through our forms is sent directly to our team, and this policy will be updated if any of this changes.

Your Rights

You can ask us what personal information we hold about you, ask us to correct it, or ask us to delete it (where we're not required to keep it — for example, current members' records while they remain members). To do any of this, contact us using the details below — we'll respond within a reasonable time and won't charge you for a straightforward request.

How to Complain

If you think we've mishandled your personal information, contact us using the details below with what happened and what you'd like us to do about it. We'll acknowledge your complaint promptly and aim to resolve it within 30 days.

If you're not satisfied with our response, you can take your complaint to the Office of the Australian Information Commissioner (OAIC) at oaic.gov.au.

Changes to This Policy

We may update this policy from time to time — for example, as our programs, tools or events change. The "last updated" date at the top of this page will always reflect the most recent version.
